Registrant Information

Our Tournament takes place in August/September therefore will be based on the upcoming season not the current one, i.ei if playing as U13 in the season ending 30th June your team should be entered as an U14 team for the tournament as the new season commences 1st July.

The event is an invitational event and the organisers reserve the right as to acceptance of teams. The event is NOT open to Academy, Elite (incl. JPL), School or District teams. The tournament is open to U7 to U16 Boys and Girls.

No teams are seeded, our tournament is for grassroots teams of all abilities and teams must be playing together as a team on a regular basis throughout the season, such as in a league. Through our beeslive.co.uk system all teams are randomly dropped into groups. However, if two teams from the same club appear in the same group then one of them will be manually exchanged with another team within another group.

Tournament events generally last between 4-5 hours depending on age groups and the number of teams entered.

We know from experience that teams will ask to have places reserved and then not book. This will sometimes mean that a team wanting and ready to book are denied their place because a reserved place is held and never used. We have a simple, quick online booking system with beeslive.co.uk which calculates if a place is available to book and pay for or if only waitlist places can be offered (free of charge until a space is available and offered to the team to complete payment for).

If you book onto the tournament and cancel the booking prior to 30th June we will give you a full refund per team. Any cancellations after 30th June will be non-refundable.

Our tournament is sanctioned by Hampshire FA so all teams taking part that are affiliated to their CFA are covered by their club’s public liability insurance. However, this does not cover individual teams or individual persons’ public liability, personal accident, or injury whilst attending our tournament.

6 per squad for U7 3v3 and 9 per squad for U8 to U16 6v6 on the pitch at any one time. No player can play for two teams. Every ‘lead’ coach will be sent an email approximately 2 weeks prior to tournament asking for their team sheet to be submitted online and will then be sent a simple 2 character check-in code to present upon arrival at the registration tent on the day of tournament.

No, all teams/players attending must be affiliated to a County Football Association (CFA) for the season and all players must be registered on the FA’s Whole Game System (WGS). Boys who are signed with an FA Premier League, Football League Academy or JPL team at the time of tournament are NOT permitted to participate. Girls who are signed to a Professional Game Academy or JPL team at the time of the tournament are NOT permitted to participate.

We don’t have an issue with teams playing up a year but we require an email from your club at least a week prior to the date of the event stating both your club and all players’ parents/guardians are happy to play up. This prevents any issues there could be around player heights, build, strength, physicality etc.

Yes, our tournament allows mixed teams except in the girls events whereby girls teams must only contain girls.

Boys/Mixed teams, no. However, a Girls team ‘not individuals’ can potentially play down a year in a Boys/Mixed event between U8 and U11 ONLY. U8 to U11 teams are typically flexible, e.g. it maybe possible to find a space for an U9 Girls team ‘not individuals’ in an U8 Boys/Mixed event if there are spaces available and the tournament organisers approve. The decision of whether a Girls team ‘not individuals’ can play down will depend on factors like their ability, the team’s needs, and tournament regulations.

All team coaches should be able to provide player identification documents when attending our tournament to confirm players eligibility if queried. Upon arrival at tournament, the ‘lead’ team coach must report to the registration area to confirm their team sheet from their emailed 2 character check-in code. Some identification documents could include WGS Registration Documents, Team/Player ID Cards or Birth Certificate.

We don’t check all players identification documentation on the day of the tournament, but we do carry out spot checks to help ensure that teams are playing by the rules and not fielding ineligible players. In the event that a player’s ID cannot be confirmed there will be a NO play policy for the player/s in question and could lead to team/s being disqualified / excluded from further participation in the tournament.

Teams can arrive up to 90 minutes before the tournament event kick-off time but NO later than 20 minutes prior to kick-off of the first match in event. Morning events typically kick-off at 9:00 AM and afternoon events 1:45 PM. The Tournament Organiser will confirm prior to the tournament via the Welcome Pack.

There will be NO briefing before matches, each team is deemed to have read and understood the rules which are sent to ‘lead’ coaches prior to the tournament.

To be confirmed on the day but typically 10 minutes per game, however game lengths may vary between different age groups, the format that your team is playing in and the number of teams that have entered / arrived at the tournament. We do try to guarantee teams a minimum number of minutes when they attend our tournament.

Players should wear their normal matchday kit including footwear and managers should ensure they bring a set of bibs (in case of colour clash). Bring equipment that you would normally take to a match, ie your medical emergency kit appropriate for grassroots football. Match balls will be provided by the tournament organiser.

The tournament is non-competitive for U7 Mixed 3v3, and competitive for all other age groups from U8 to U16 6v6 in either a Cup or Plate competition following the completion of the pool matches.

Independent, qualified referees are appointed to all matches. They are in control of the game/s and their decision is final and will NOT be overruled. They are paid match fees by Braishfield Bees Youth FC.

Every player that attends our U7 Mixed 3v3 events receives a participation medal as a memento for the day. U8 to U16 see ‘What do the winners get?’.

Teams that win the Cup or Plate win a trophy and all players that take part in the FINAL ONLY will receive a winners or runners up medal.

Scouts from some Premiership, Championship and National League Clubs are invited along. These typically include Chelsea, Bournemouth, Southampton, Portsmouth, Fulham and Eastleigh.

Yes, we have a BBQ, refreshments and ice cream vendor on site. Teams are NOT allowed to bring along and set up a BBQ of their own due to health and safety of both school and tournament organiser. Anyone found to be setting up / using will be asked to leave site immediately. Consumption of alcohol on the school site is not permitted.

No, due to our venue being a school NO dogs are allowed on site. Anyone found to have a dog will be asked to leave site. Both assistance and guide dogs are welcome.

No, due both to our venue being a school and to potential risk of fires, NO smoking or vaping is permitted anywhere on the school premises, the field car park or adjoining access from car park to school field. Anyone found to be smoking or vaping may be asked to leave the site.

No. Veo or other similar sports match cameras are not permitted on site and their use is prohibited. You will be asked to remove them if found to being used.

As coaches / spectators we ask that NO photography or videos are taken during the event other than of their own child. By registering your team/s, you agree that our official event photographer/s throughout the day will take photographs (NO videos are taken) for advertising future events or for press releases and/or social media. Photographs are made available to purchase on the day or on their website post tournament. If you would not like photography of any player/s or teams to be used for this purpose for any reason, you must notify the tournament organiser via email tournamentbeesfc@gmail.com prior to the tournament taking place. Every effort is made to protect any player/s identity that are to be ‘protected’ however, we as a Club / official event photographers CANNOT take any responsibility for said photographs.
